We built a multi-role internal platform for a health clinic franchise network, connecting the franchisor, franchisees, and clinicians into one centralised system. The platform handles everything from AI-powered compliance monitoring across the franchise network to full digital patient record management — eliminating the manual coordination, scattered paperwork, and lack of visibility that was holding the business back from scaling.

The Problem

Modulus Health operates a network of health clinics across multiple franchise locations. Before ShipFast, the business was held together with spreadsheets, email threads, and manual processes — and it was starting to crack.

On the franchisor side, keeping tabs on every clinic meant chasing down compliance documents, manually reviewing performance across locations, and having no real visibility into whether clinicians were following protocols.

On the clinic side, franchisees were drowning in paperwork. Patient intake forms, treatment plans, consent documents, invoices, prescriptions, lab results — all stored inconsistently across folders, desktops, and inboxes. Nothing was centralised. Audits were painful. Patient records were a liability.

There was no system. Just chaos held together by good intentions.

AI Compliance & Franchisee Review

The franchisor dashboard gives head office a live view across the entire network. Instead of manually checking in with each location, the platform now flags issues automatically.

  • AI compliance monitoring reviews each franchise against required standards — licence documents, insurance certificates, training completions — and surfaces gaps before they become problems

  • Franchisee scorecards aggregate performance metrics (revenue, appointment volume, patient retention) so the franchisor can spot underperforming locations at a glance

  • Automated alerts notify both the franchisor and the franchisee when a document is expired, a review is overdue, or a compliance item is outstanding

  • LMS integration tracks which clinicians have completed required training modules, with AI flagging anyone who's fallen behind

Digital Paperwork & Patient Records

Every patient interaction — from first booking to final invoice — is captured, stored, and accessible in one place.

  • Patient profiles hold the complete record: intake forms, treatment history, consent documents, photos, prescriptions, lab results, and invoices — all linked and searchable

  • Clinicians build treatment plans directly in the platform, which auto-generate structured records and push relevant documents to the patient's portal

  • Document upload and management replaces the folder chaos — every file is typed, dated, linked to an appointment, and visible to the right people (and only the right people)

  • Patient portal gives clients access to their own records, aftercare guides, and invoices — reducing front-desk calls and improving the patient experience

  • Audit-ready by default — every action is logged, every document is timestamped, and records can be pulled for any patient in seconds
